Sound familiar?

Where the paperwork falls apart.

Busy weekends, a crew on their first job and a building full of machines. Here’s what goes wrong — and how each one gets handled.

  • Saturday · 2:30 PM

A kid gets hurt at a birthday party. The report is a napkin.

Two weeks later the parent calls. Nobody remembers who was working or what happened.

Guest injuries logged on a phone in minutes, with photos, witnesses and the first aid given.

  • Lane 12

The pinsetter on lane 12 jams every weekend.

Everyone knows. Nobody knows how many times it’s been fixed or what it has cost.

A QR sticker on every machine, with its full repair history and cost.

  • Close · 11:30 PM

A register comes up $40 short. Again.

Without a consistent record, it’s one person’s word against another’s.

Cash-handling write-ups signed on screen, with every earlier one on file.

  • May · hiring season

Forty new hires before summer, most on their first job.

Policies get skimmed, signatures get skipped and training dates live in someone’s head.

Handbook and safety rules signed on their own phone, with training assigned at hire.

Permits, training and safety

Built to support a young, seasonal crew.

Set each permit or training up once: who needs it, how long a new hire has and how often it renews. HR PaperTrail assigns it at hire, keeps the proof on file and warns you before it lapses.

Track any of these — or your own

    First aid on every shift

Know which managers on each shift are certified, and when each card renews.

  • Your rules

    Ride and attraction training

Go-karts, laser tag, climbing walls — training for each attraction, assigned to the people who run it.

  • Food handler · 30 days

    Food handler cards

Snack bar, party rooms and concessions, every card tracked per person.

  • RBS · 60 days

    Alcohol server certification

For bar and lounge staff who serve alcohol.

  • Labor Code §6401.9

    Workplace violence log

Fights in the parking lot, threats at the counter — AI flags incidents that may meet the definition. Your team decides.

HR PaperTrail is software, not legal advice. Rules differ by city, county and state — confirm the details with your counsel or regulator.

Every busy night

What your managers use every weekend.

01 · Incident logs

Guest injuries and incidents, logged in minutes.

Slips, bumps, lost kids, fights and complaints — with who was involved, who saw it, photos and the first aid given. AI flags anything that may count as workplace violence, and your team decides.

  • Log it from a phone, on the spot
  • Private incidents for sensitive cases
  • Every incident on the employee’s timeline

02 · Repair & maintenance

Lanes, rides and games — fixed and costed.

Put a QR sticker on every pinsetter, kart and arcade cabinet. Anyone on the crew scans it, snaps a photo and reports the problem. You see every repair, and what each machine has cost you.

  • Safety hazards alert managers right away
  • Reminders until it’s fixed
  • Lifetime repair cost per machine
More on Repair & maintenance
03 · Write-ups & PIPs

Cash-handling write-ups that settle it.

When a drawer comes up short, the write-up follows your own steps. The employee adds a comment and signs on screen, then the supervisor, then HR. Every earlier one is on file.

  • The same steps for every manager
  • Write-ups in English or Spanish
  • The whole history, one tap away

04 · Shift reports & time off

Opening and closing lists that get done.

Lanes oiled, party rooms reset, prizes locked up — a checklist for each area and shift, ticked by name and time. The closing report lands in your inbox with that night’s incidents and repairs.

  • A checklist for each area and shift
  • Daily ride and attraction checks
  • Time off approved in the same place

05 · Attendance points

Weekend no-shows, handled the same way.

Late arrivals, no call/no shows and swapping shifts without asking each carry your point values. A point comes off for every clean month, automatically, so your most reliable people get the credit.

  • Your rules, your point values
  • A 30-day trend on every employee
  • Suggested adjustments a manager approves

A Saturday at the venue

From doors open to last game.

One Saturday at our demo bowling and family fun center. The people are fictional. The product is real.

  1. Open

    Doors open, checklist done.

Elena works the opening list from her phone: lanes oiled, party rooms set, first-aid kit stocked. Every box is ticked by name and time.

  2. Afternoon

A child pinches a finger in the ball return.

Jake gives first aid and logs it on the spot with two photos. Grace saw it and is added as a witness. If the parent calls in two weeks, the record is already there.

  3. Evening

The lane 12 pinsetter jams — again.

Aaron scans the sticker and reports it. The ticket shows six repairs this year and what they cost. Time to talk about replacing it.

  4. Evening

Two guests start shoving in the arcade.

Jake separates them and logs it. AI flags it as something that may count as workplace violence and explains why. Your team decides.

  5. Close

    Register 2 is $40 short.

Elena closes the shift report with the count, both incidents and the open lane 12 ticket. On Monday she presents Aaron’s written warning on screen, and he signs.

Who uses it

Everyone on the crew sees what they need.

You decide who can see and do what. Managers see their own departments; HR and owners see everything.

  • Owner or GM

    e.g. Sam Ortiz

Every incident, write-up, expiring card and open repair in one place — and a short summary of the week every Monday morning.

  • Shift managers

    e.g. Elena Ruiz

Run the checklists, log incidents and present write-ups from a phone. They see their own crew and nothing more.

  • Office or HR

    e.g. Danielle Okafor

Every permit, signature and incident in one file per employee. The whole file prints in one click.

  • Maintenance

    e.g. Luis Ortega

Every lane, ride and game with its repair history and cost — and reminders until it’s fixed.

Questions

Good questions, straight answers.

Something else on your mind? Talk to us — a real person answers.

Most of our crew are teenagers on their first job. Will they use it?
There isn’t much to learn. They sign the handbook and policies on their own phone, and sign write-ups on a manager’s screen or their own. Managers do the rest.
Can it track work permits for minors?
Yes. Add the work permit as a requirement for the positions minors fill, keep a copy on file and see when each one runs out.
We hire 40 people every spring. How fast is onboarding?
Send us the list and we import it. Each new hire gets the paperwork and training you choose the day they’re added.
Can we track daily ride and attraction checks?
Yes. Build a checklist for each attraction and shift. Each check is ticked by name and time, and the shift report goes to you when it closes.
Does it do scheduling or ticketing?
No. Keep your scheduling, point-of-sale and ticketing systems. HR PaperTrail keeps the record of your people and your shifts.
How long does setup take?
Days, not months. We import your roster, load your positions, training and checklists, and walk your managers through it.
