What does it cost?

It depends on how many people and locations you have. Tell us a little about your business and we’ll send a straightforward quote — setup included.

Do I need an HR department to use it?

No. HR PaperTrail is built for businesses without one — for the managers who already do the documenting, on the floor, on a phone, at the end of a shift.

Is setup really included?

Yes, on every plan. Send us your roster as a spreadsheet and we’ll import it for you. We set up your departments, write-up reasons, attendance rules and certifications, and walk your managers through it.

How fast can we be up and running?

Usually days, not months. Once we have your roster, we import it, load your rules with you, and your managers can sign their first write-up the same week.

Do my employees need to download an app?

No. HR PaperTrail works in the web browser on phones, tablets and computers. Employees sign on the manager’s screen or from a secure link on their own phone.

Does it connect to our payroll or time clock?

Not today. We import your roster during setup, and you can add new hires yourself anytime. If you need something specific, ask us — we’ll tell you straight what fits.

We have more than one location. How does that work?

Each location can be its own department, so managers see only their own people. Or each property can have its own separate workspace, with its own web address and logo. We’ll recommend a setup on our first call.

Does it help with California’s workplace-violence law (SB 553)?

It’s built to support it. The law asks for a written prevention plan, training and a log of violent incidents. HR PaperTrail’s AI flags incidents that may meet California’s §6401.9 workplace-violence definition — your team decides. Flagged incidents export with the details the law lists, names left out, for your team to review. Your plan and training are still yours, so talk to your attorney.

What does the AI actually do? Does it decide anything?

It reads; it doesn’t decide. It looks at the last year of records to show who may need attention, flags incidents that may be workplace violence, and suggests point changes a manager has to approve. It never disciplines anyone.

Do you do scheduling or payroll?

No. Keep the scheduling and payroll tools you have. HR PaperTrail knows your shifts — mornings, nights, swing, whatever you call them — so reports, checklists and incidents line up with them.
